
B.O.S Toolkit
This article is in reference to a PowerBI report. Please note that you will only have access to PowerBI if you are on a HG build of Optix.
The B.O.S Toolkit report shows you a cohesive view of your current recall situation, including how sending reminders out will impact your practice, how it has impacted your practice in the past and how to best make use of the recall system.
When opening the App, you will be welcomed with 4 options. These are “Diary Capacity”, “Recall Response”, “Recall Step Analysis” and “Recall & Diary Trend”, all of which have a unique purpose which will be outlined in this article.

Diary Capacity
The “Diary Capacity” section is primarily used to plan the immediate sending of reminders to give each reminder as much impact as possible by boiling down your reminders into their two most important factors.
“Clinic Days to Fill in the next fortnight” is the amount of testing days you have available to fill in the next fortnight, and “Estimated Clinic Days” is how many you can expect to fill by sending out the recalls seen in “Reminders in Backlog”.
The percentage figures seen in the bottom table represent the total amount of testing time on your Optix diary that is currently being used, and in conjunction with the “Available Appointments Per Day” can be used to determine how many “Estimated Responses” will be required to fill any free space in the diary in the next fortnight.

Recall Response
The “Recall Response” section can be used to compare performance year on year across metrics. This can be helpful to compare performance across the patients 2-year cycle, as years that are two years apart can be selected. This also includes “Backlog”, which is all due recalls in the future and can be used to plan around any dips in reminder quantity.
This also shows you the number of reminders sent and the response percentage for reminders sent in each month.

Recall Step Analysis
The “Recall Step Analysis” section can be used to estimate the number of days it takes returning patients to respond to recall after the reminder is sent.
It then breaks this down into a few different groups to let you quickly estimate how long it will take for your reminders to influence your diary.

Recall & Diary Trend
The “Recall & Diary Trend” page can be used to compare many key metrics together across time using the “Category” filter on the right-hand side of the page.
For example, if you wanted to compare the number of sent reminders to how many tests were performed over time, you could do it here.
